01 · Summary

What we heard, and what we propose

We reviewed the current public site at gymfedindia.com (snapshot taken 11 October 2026) against the RFP and against two reference federations, FIG (gymnastics.sport) and USA Gymnastics (usagym.org).

Where the current site stands

  • Results are published as lists of downloadable PDFs. They cannot be searched, filtered by apparatus or linked to an athlete.
  • The gymnast registration form asks for the full Aadhaar number and home address in a plain web form, with no state verification step and no fee payment.
  • The calendar has useful filters, but events have no page of their own with schedule, start lists, results, gallery and stream in one place.
  • Achievements such as the 2026 Asian Championship medals appear as poster images. Text inside images is not readable by screen readers or search engines.

What the new platform does

  • One event page per championship that moves from upcoming to live to results, with streaming and a live scoreboard.
  • Results imported from the scoring vendor's files, stored per apparatus and linked to each athlete's permanent GFI ID.
  • Registration with Aadhaar-based verification that never stores the full number, approved by the state association and then by GFI.
  • QR-verifiable certificates issued to DigiLocker, online fee payment with GST receipts, and a back office for GFI and all 36 state associations.

The prototype below is a clickable concept of the public site and the portal. It uses photographs from GFI's own website. Names in results, start lists and portal screens are fictional demo data.

03 · Scope

Ten modules, one platform

Each module maps to a requirement in the RFP. All of them share one athlete record, one events record and one role-based back office.

PUBLIC SITE

Website & news

Homepage with live or next event, news, disciplines, athletes, gallery and social feed. Governance pages migrated from the current site.

EVENTS

Calendar & event pages

Live, upcoming and past views. Filters by discipline, level and city. Schedule, venue, circulars, start lists, results, gallery and stream on one page.

STREAMING

Live player

YouTube Live or HLS per event, feed switcher per apparatus, live scoreboard, replays saved to the video gallery.

RESULTS

Results archive

Import from the TSR vendor's CSV or XML with preview and confirm. D and E scores per apparatus, all-around totals, CSV export.

ATHLETES

Registration & GFI ID

Aadhaar-based identity and age check, documents, fee, then a permanent GFI ID and a QR athlete card.

STATES

State associations

A page for each of the 36 states and UTs. Affiliation and renewal with payment. Athlete verification and competition entries.

CERTIFICATES

Digital certificates

Participation and merit certificates generated from results, with a QR code to a public verification page, issued to DigiLocker through SAI.

PAYMENTS

Fees & receipts

UPI, cards and net banking through a hosted checkout. GST receipts, status tracking, nightly reconciliation and refund reports.

MEDIA

Galleries & social

Event albums with resizing, watermarks, alt text and photographer credit. Share tools, embedded feeds, optional auto-post after editor approval.

The tenth module is the back office: role-based CMS for news, events, media, approvals, entries, certificates, payments and dashboards, with GFI staff signing in through Google Workspace.

04 · Workflows

From registration to certificate

The core chain the platform automates. Each step is recorded in the audit log with who did it and when.

AthleteRegisterAadhaar check through DigiLocker or offline e-KYC. Profile, documents, guardian consent for minors, fee.

Scope is enforced on the server for every request. A state admin cannot open another state's athletes by changing an ID in the address bar.

05 · Technology

Architecture

A single TypeScript codebase with the CMS inside the application, so content, events and athlete data share one database and one permission model. Every external service sits behind an interface with a sandbox version, so the system can be built and tested before live credentials are issued.

Dashed boxes are external services. Each has a sandbox implementation for development and testing.

06 · Privacy, security & accessibility

Built for children's data

Many registered gymnasts are under 18. The platform is designed around the Digital Personal Data Protection Act, 2023 from the first release.

  • No full Aadhaar numbers stored. Only a verification reference, the last four digits, and the verified name, date of birth and gender.
  • Verifiable parental consent for every athlete under 18, with the purpose of each data item recorded.
  • Public pages show name, state, discipline, club and results only. Date of birth, phone, email, address and documents are never public.
  • Documents in private storage, served through short-lived signed links. Sensitive fields encrypted at rest.
  • Audit log for every approval, payment change, certificate issue or revocation, role change and staff view of personal data.
  • Payments confirmed server-side through signed gateway webhooks, never by the browser redirect. Card and bank details never touch the platform.
  • WCAG 2.1 AA and GIGW: keyboard and screen-reader support, labelled form fields, visible focus and sufficient contrast in both themes.
  • Light on slow networks: mobile-first pages, lazy-loaded media, times in IST, amounts in ₹ with Indian digit grouping.

07 · Social media engagement

Taking Indian gymnastics to where fans are

The RFP includes developing and maintaining GFI's social media accounts. We will set up or verify GFI's official accounts on every major platform, run them day to day, and connect them to the website so that every result, story and live stream reaches fans on the apps they already use.

Content pillars

Compete

Calendar, live coverage, results and medal moments from national and international events.

Athletes

Profiles and stories of national team gymnasts, with their consent and, for minors, their guardian's.

Grow the sport

Discipline explainers, how scoring works, how to register, and stories from state associations and clubs.

Federation

Official notices, selection news, safeguarding and anti-doping awareness, in English and Hindi.

Connected to the website

  • Share buttons on every news story, result, gallery and certificate page, including WhatsApp, X, Facebook and copy-link.
  • Official feeds embedded on the homepage and event pages, loaded only after the page itself, so slow phones stay fast.
  • Auto-post on publish: when an editor publishes a story, the CMS prepares posts for each platform. An editor confirms before anything goes out.
  • Official APIs only (Meta, X, YouTube, LinkedIn). Account access sits with GFI, with our team added as managers.

Running the accounts

  • Monthly content calendar, approved by GFI's media team, built around the events calendar.
  • Event-day coverage: a social producer at each national championship for live posts, Stories and scoreboard graphics.
  • Community management: replies to questions on registration, entries and results within one working day, with escalation to GFI for official matters.
  • Safeguarding: no personal details of minors in posts, photo consent checked before publishing, and abusive comments removed under a written moderation policy.
  • Monthly report to GFI: followers, reach, engagement rate, video views and traffic to the website for each platform. Targets set with GFI after a baseline audit in month one.

Platforms covered

Links point to each platform until GFI confirms its official handles. The social icons on the current site do not link to any account.

08 · Delivery plan

Twenty-four weeks to launch

Indicative plan, to be confirmed with GFI at kick-off. Phases overlap so that the public site goes live early while the portal is still being built. Maintenance follows for the term set in the RFP.

Discovery & design

Weeks 1–4

Workshops with GFI and three state associations, content audit of the current site, final designs in English and Hindi.

Public site & CMS

Weeks 5–12

Website, news, events calendar, results archive with the first vendor import, galleries, migration of governance pages and PDFs.

Athletes, states & payments

Weeks 9–18

Registration and approval chain, state portal, entries, payment gateway, GST receipts and reconciliation. Migration of existing athlete records.

Certificates, live & social

Weeks 15–22

Certificate generation, public verification, DigiLocker push through SAI, live player and scoreboard, social integrations.

Testing & launch

Weeks 21–24

Security audit, accessibility audit, load testing, user acceptance with GFI and states, training, go-live.

09 · Inputs from GFI

Decisions we need from GFI

These are legal or financial matters that GFI must decide. The platform keeps each one in configuration, so it can change without new code.

Aadhaar verification route

DigiLocker e-KYC, offline Aadhaar (Secure QR or XML), or authentication through a licensed AUA/KUA.

Fees and GST treatment

Registration, affiliation, renewal and entry fees, and how GST applies to each.

GFI ID format

Proposed GFI-YY-SS-NNNN: year of first registration, state code, sequence.

Age cut-off dates

Sub-Junior, Junior and Senior cut-offs for each season, as set in GFI's rules.

Certificate wording and signatories

Text for participation and merit certificates, and who signs them.

Existing data and access

Exports of current athlete, result and payment records for migration. No record is dropped.

Brand assets

Official logo, colours and photography rights. The prototype uses none of GFI's brand marks.

Integration accounts

Payment gateway choice, DigiLocker issuer onboarding through SAI, TSR vendor file formats.

Social media accounts

Existing official handles and admin access, or approval to create and verify new ones on each platform.

Photo and video consent

GFI's consent policy for featuring athletes, especially minors, on social media.

Commercials are submitted separately in the financial bid format prescribed by the RFP.
